A quantity takeoff is the process of measuring every material and labour quantity from a set of plans (areas, lengths, volumes, and counts) before those quantities are priced into an estimate. The Quantity Takeoff Process, Step by Step
Takeoffs in construction all follow the same sequence, on paper or on screen:
- Gather the current drawings. Measuring superseded plans is the most expensive mistake in estimating.
- Establish the scale. On paper, that means a scale ruler and trust in the printer. In software, you calibrate the PDF once against a known dimension and confirm it.
- Work through the job in a fixed order. Trade by trade or stage by stage (site works, slab, frame, roof, linings, fit-off) so nothing gets skipped.
- Measure each item in its natural unit. Areas in square metres, lengths in metres, volumes in cubic metres, discrete items as counts.
- Record everything against its item, with a description and unit, ready for pricing.
- Apply waste factors at pricing. Net measured quantities, plus an allowance for cutting, laps and breakage, kept separate so the numbers stay auditable.

A Worked Example: Small Rear Extension
Take a single-storey rear extension and see what the takeoff actually produces. (Quantities are illustrative only; always measure your own plans.)
- Slab area: trace the extension footprint. Say it measures 6.0 m by 7.0 m, giving 42 m2 of slab. That one area drives the concrete volume, the mesh, and the under-slab membrane.
- External wall length: two 7.0 m sides and one 6.0 m end give 20 m of external wall. With a 2.7 m ceiling, that is roughly 54 m2 of wall area for cladding and linings, less openings.
- Internal walls: one 4.0 m partition, about 10.8 m2 of plasterboard per face.
- Counts: three windows, one sliding door, one internal door, eight downlights, six power points. Each tap becomes a supply-and-install line.
- Roof area: the roof plane over the footprint, adjusted for pitch and overhang, so larger than the 42 m2 floor area. A takeoff makes that adjustment explicit instead of assumed.
Fifteen minutes of measuring produces the quantity backbone for concreting, framing, cladding, plastering, roofing, glazing and electrical, and every priced line traces back to a measured shape on the plan.
