Painting Estimating Software Built for Contractors

By qrrise
Measure once, calculate paint coverage automatically, and build accurate quotes faster.

Painting estimating software helps contractors measure wall and ceiling areas from plans, factor in coats, coverage rates and prep, and turn that into a priced quote. Manual painting quotes are slow and inconsistent; software makes coverage maths and area takeoff repeatable. QR-rise lets painters measure and price from the plan and send a branded quote the same day.

Most painting contractors quote from a walk-through and a notepad, and every estimator does the maths slightly differently. The best estimating software for painting contractors replaces that with a repeatable process: measure once on-screen, apply the same rates every time, and send a quote the client can approve online. QR-rise is construction takeoff software with pricing built in, which suits a trade that runs on areas.

What painting estimating software does

Painting estimating software converts a plan into paintable areas, applies your coverage and labour rates, and produces a quote. In QR-rise, every measurement is linked to an estimate line, so when the scope changes, an extra room or a revised ceiling height, the price recomputes automatically. Pricing runs server-side, so the quoted total always matches the takeoff behind it.

Measuring walls and ceilings from a plan

Floor plans do not show walls as areas, so painters use a simple two-step method that QR-rise makes fast:

  1. Measure wall lengths. Trace the internal wall lines of each room with the length tool. The plan gives you lineal metres of wall per room.
  2. Multiply by ceiling height. Wall area equals wall length times height. Set the height per room or per level, and the length takeoff becomes a wall area.
  3. Measure ceilings as areas. Trace each ceiling as an area takeoff, usually the same as the floor plate, adjusted for voids and rakes.
  4. Deduct or ignore openings deliberately. Many painters leave standard doors and windows in the wall area to cover cutting-in time; larger glazed openings are worth deducting. Either way, make it a consistent rule in your rates.
  5. Count the itemised extras. Doors, door frames, and feature items are counted and priced per unit rather than absorbed into the wall rate.
Line To Paintable
Convert wall lengths into paintable wall areas using ceiling height, while measuring ceilings separately.

Set the scale once per page and every length and area on that plan is calibrated. AI-assisted detection helps speed up repetitive layouts such as apartments and townhouses.

Coats and coverage maths, without the guesswork

Paint quantity is area, divided by coverage, multiplied by coats. As an indicative example only: if a paint covers somewhere around 14 to 16 m² per litre per coat, a 120 m² wall area at two coats needs roughly 15 to 17 litres, before allowing for porous surfaces or colour changes that might force a third coat. The exact figures belong to your products and your judgement; what software fixes is the consistency. In QR-rise you set a supply-and-apply rate per m² for each system, such as two-coat low sheen on plasterboard, three-coat new work or exterior acrylic on render, and the measured area prices itself. Coverage assumptions live inside the rate, reviewed when your supplier changes spec, instead of being re-guessed on every quote.

Paint quantities are calculated from measured area, product coverage and the selected coating system.

Prep and sundries as visible line items

Underquoting prep is the classic painting margin killer. Rather than hiding preparation inside the m² rate, itemise it: gap filling and sanding as a labour line, undercoat or sealer on new plasterboard as its own system, pressure washing on exteriors as a lump or per-m² line, and sundries such as tape, plastic and drop sheets as an allowance line. QR-rise treats these as normal estimate lines, so the client sees a professional itemised quote and you see exactly where the money is. Waste and contingency allowances work the same way, as explicit line items rather than padded rates.

Sundries And Consumables
Separating preparation and sundries into individual estimate lines improves pricing accuracy and transparency.

Interior versus exterior quoting

Interior work is dominated by wall and ceiling areas with predictable heights and repeatable systems. Exterior work adds access, weather exposure and substrate variety: render, cladding, fascia and gutter lines, and timber trim all carry different rates. In QR-rise, fascias, gutters, barge and handrails are measured as lengths and priced per lineal metre, while walls and soffits stay as areas. Access costs such as scaffold and EWP hire sit as their own lines, or as provisional sums when you cannot fix them yet. For industrial and warehouse work, the substrate question matters even more, so price each coating system as its own line against the surface it will cover.

The painting quote workflow in QR-rise

  1. Upload the plan PDF and set the scale once.
  2. Take off wall lengths, ceiling areas and counted items room by room.
  3. Apply rates from your library: per m² for each paint system, per lm for trim lines, per unit for doors and frames.
  4. Add prep, access and sundries lines, with GST and any provisional sums handled automatically.
  5. Send the branded PDF quote for online approval, then convert it to an invoice, with staged payments if the job runs in stages.

Because QR-rise is cloud-based, you can measure at the office and present the quote from a tablet on site the same day.

If you are not ready for software yet, our painting quote template is a free starting point you can fill in by hand; the software is the faster tool once you are quoting regularly and want the maths done for you.

Frequently asked questions

How do painters estimate a job from a floor plan?

Measure wall lengths per room, multiply by ceiling height to get wall area, measure ceilings as areas, and count doors and frames separately. Apply a supply-and-apply rate per m² for each paint system, then add prep and access lines.

How many square metres does a litre of paint cover?

It varies by product and substrate. Manufacturers commonly publish indicative coverage in the mid-teens of m² per litre per coat, but porous or textured surfaces cover less. Build the real-world figure into your per-m² rate rather than recalculating it each quote.

Should I deduct windows and doors from the wall area?

Many painters leave standard openings in the measurement because cutting-in around them takes as long as painting the equivalent area. Large glazed walls are usually deducted. The important thing is a consistent rule baked into your rates.

Can painting estimating software handle both quoting and invoicing?

Yes. In QR-rise an approved quote converts to an invoice, including staged payments for larger jobs, so numbers are never retyped between documents.
